The role of the Office Administrator is to carry out administration support for the Contracting Services Group in Rotorua to ensure that the operational requirements of the network are maintained.

Administration and support

 

  • Timesheets:
  • Printing and distributing timesheets for Lines and Civil staff;
  • Collating and checking timesheets for accuracy and completeness for Lines and Civil staff; and
  • Inputting of all Lines and Civil timesheets into the payroll system.
  • Maintenance of the Vault Health & Safety database, including:
    • Data entry - loading of new items and updating existing PPE;
    • Monitoring system emails for expiry dates for test/inspections;
    • Manage plant/equipment compliance.
    • Coordinate six monthly Test days;
    • Organise internal and external Testers; and
    • Organise Pole Top training.
  • Fleet management, including:
    • Managing maintenance schedules;
    • Arranging repairs;
    • Organise forestry permits for vehicles and drivers; and
    • Manage bookings for pool vehicle.
  • Liaise with Unison Network & Operations Group regarding Rotorua staff requiring Substation and Transformer keys.
  • Schedule yearly health checks and liaise with supervisor ensuring minimum impact to operations.
  • Collate and distribute switching plans to supervisors.
  • Update office and vehicles policy and procedures library.

 

Other Duties

  • Provide back-up to the Project Administrator as required.
  • Assist with special projects/research and other duties that may be required from time to time.
  • Document filing, formatting and templates as required.
  • Update and monitor the Lone Worker.
  • Arrange building maintenance when required.

What we require for the role is the following:

  • 6th Form Certificate of equivalent.
  • Current drivers licence.
  • At least 3 years office experience with a sound understanding of business administration functions.
  • Must be proficient with Microsoft Office Suite

Need to be able to work Monday to Friday 7.30am to 4pm.

This role is varied on a daily basis, you will be working in an open plan office with lots of fun people.
